Managing a Growing Technology Community
UMT Techverse required more than a conventional organization website. A technology community runs members, teams, events, tickets, hackathons, registrations and public announcements at the same time.
A brochure site could communicate information, but it would not provide the operational layer needed to manage those activities. The challenge was therefore two-sided: a clear public experience for students and visitors, and internal tools for the organization to manage people, teams, events and programs.
Public experience
Give students and visitors a clear way to discover Techverse, its activities and opportunities.
Internal operations
Give the organization tools to manage people, teams, events and programs — not only publish pages.
Many concurrent activities
Members, teams, events, tickets, hackathons, registrations and announcements need structure.
Beyond a brochure website
Communication alone is not enough when participation and administration must run on the same platform.
From a Student Community to a Connected Digital Platform
- Build a public website that answers: what is Techverse, what is happening, and how do I participate?
- Provide a management portal for organizational operations.
- Centralize member and team management for the community structure.
- Support event creation, discovery and participation workflows.
- Add dedicated ticket management for event participation.
- Support hackathon programs as structured operations — not only as marketing pages.
A Website Connected to an Operational Management Portal
The value of the platform is not simply a feature list. It is the connection between public discovery and administrative control — so members, teams, events, tickets and hackathons share one operational model instead of living in disconnected forms and spreadsheets.
Platform architecture
Public website + management portal
- Public website for identity, programs, events, hackathons and community information
- Management portal for administrators running day-to-day operations
- Shared concepts across events, members, teams, tickets and hackathons
- Registration / participation pathways connecting discovery to operations
Public website
The digital face of Techverse
- Techverse identity and community presence
- Programs, activities and announcements
- Events and hackathon discovery
- Teams and community information
- Registration opportunities and participation pathways
Team & member management
Community/team management — not an HRMS
- Member records for community participants
- Teams aligned to Techverse’s organizational structure
- Roles / leadership representation where required
- Centralized administrative environment for community participation
Event management
From announcement to registration
- Create and manage events in the portal
- Publish events to the public experience
- Student discovery and registration pathways
- Participant management for event operations
Ticket management
A digital layer for event participation
- Ticket creation and categories
- Registration tied to events
- Participant records and ticket status
- Administrative ticket management without spreadsheet-only workflows
Hackathon management
Structured programs beyond ordinary events
- Hackathon creation and administrative oversight
- Participant registration
- Team formation and team/member management
- Status and results management for program operations
Event participation workflow
- 1
Administrator creates an event
- 2
Event is published to the public site
- 3
Student discovers the event
- 4
Registration / ticket is created
- 5
Participant record is managed in the portal
- 6
Event operations continue from one system
Designed for Students and Administrators
Students and visitors need Discover → Understand → Register → Participate. Administrators need Create → Manage → Track → Operate. The public website and management portal serve those different jobs while staying connected through shared operational data.

Building One Platform for Different Workflows
Engineering challenges centered on roles, connected data and keeping public vs administrative experiences clear without fragmenting operations.
- Multiple user roles with different access and capabilities
- Connected data across members, teams, events and tickets
- Event-specific workflows without overcomplicating the whole platform
- Hackathon workflows that differ from ordinary events
- Public website and private portal serving different purposes
- Extensibility for future community programs
Connected management instead of separate tools
Examples of the connected model: Member → Team → Event → Ticket, and Hackathon → Participant → Team → Management. That creates a structured data model around the community instead of treating every activity as an isolated form.
